The Gardens of Babylon: Night Sky was a weekend event held at Westerpark in Amsterdam. Revolution Academy was responsible for the entrance operation, and I managed the project from the initial client requirements through pre-production, staffing, operational preparation and final delivery.

The project involved an eight-gate entrance setup supported by a combination of volunteers and paid crew.

Entrance Project
Management.

  • Managed direct client communication, gathering the operational requirements needed to prepare the entrance project.
  • Developed and revised the staffing proposal, adapting the existing model to combine volunteers with paid crew based on the event’s requirements.
  • Managed recruitment and staffing for the entrance operation, including volunteer coordination and role allocation.
  • Prepared the complete pre-production setup, including check-in sheets, staffing information, shared project files, maps, communication channels and required materials.
  • Prepared and briefed the Entrance Manager, transferring the operational plan and all relevant information required for live delivery.
  • Maintained remote project oversight during the event, remaining available to the Entrance Manager and client contact for operational questions and adjustments.
  • Completed post-event follow-up with the client and internal team to confirm delivery and close the project.

The project starts with direct client communication to define the entrance requirements, staffing needs and operational structure. From there, I translate the brief into the staffing plan, project documentation, recruitment and communication setup required for delivery.

The entrance model combines volunteers and paid crew across eight gates. I prepare the operational handover for the Entrance Manager, organise the required materials and remain available during the event for project support and coordination with the client contact.

Owning the project from brief to delivery.Managing the entrance project end to end strengthened my ability to turn client requirements into a clear operational plan, coordinate the people and resources behind it, and remain accountable for the final delivery.
