My role

Crew management
on site.

• Coordinate the operational preparation of the staffing project, translating event requirements into a clear structure for supervisors and crew ahead of the live day.
• Maintain oversight of staffing readiness, following crew coverage, outstanding information and operational requirements through pre-production.
• Lead the crew operation during the live day, maintaining overview across entrance, check-in, parking and additional scanning locations.
• Coordinate through the operational hierarchy, working with the Entrance Manager, supervisors and other delegated team members rather than managing every position directly.
• Monitor staffing and coverage throughout the event, responding to arrivals, no-shows, changing requirements and operational needs as they develop.
• Make live operational decisions and adjustments, coordinating with the Entrance Manager or Project Manager where decisions affect the wider event operation.

Project context

The project covers staffing operations across the main entrance, additional scanning points, parking and shuttle access. Preparation begins in the weeks before the festival, with the operational structure developing around the client’s requirements as staffing needs, site information and event details are confirmed.

During the live day, I maintain the wider operational overview across the staffing structure rather than managing every area directly. Responsibilities are delegated through the Entrance Manager, supervisors and other team members, while I monitor staffing, arrivals and coverage across the operation. My role is to make sure each part of the structure is functioning as planned, give direction where needed and step in when adjustments or decisions are required.
